CCB: Meeting of Provincial Secretaries

BELÉM, Brazil – The Provincial Secretaries of the circumscriptions in Brazil met for the first time from July 28-August 1, 2008 in Belém. Eighteen Capuchin secretaries and/or archivists from the ten Provinces and two Viceprovinces came to this meeting. They were welcomed by the President of CCB and the Provincial of  Maranhão-Pará-Amapá, Br. José Rodrigues de Araújo and by the Our Lady of Help Fraternity in Belém. Br. Martinelly Soares Martins, Secretary of PROMAPA, coordinated the gathering of Provincial Secretaries. He also organized visits and moments of integration in Belém, the capital of Pará.

One of the objectives of the meeting was to define the mission of the Provincial Secretary – the skills, responsibilities, activities as well as the participation in the provincial animation along with some practical indications to improve the work of the provincial secretariat and its archive.

The General Secretary, Br. Sidney Damásio Machado, was responsible for the conferences and the input of the first two days. He helped the provincial secretaries to understand the structure of the General Cúria (confreres, departments, activities, and the canals of contact); familiarization of the Order’s website as a source of information (including the reserved area) and its importance as an instrument for our work; explanation of the office of the General Procurator (dispensations, processes, incardinations, resignations/dismissals, creation and suppressions of friaries, etc.; and the structure of the communication of the Order (BICI, Analecta, and the Lexicon Capuccinum).

The third day was dedicated to the study of Protocol and of the Provincial Archive (current and historical), followed by an exchange of experiences, a handout of materials and information concerning the possibility of interprovincial collaboration in the area of the secretariat. Br. Juarez de Bona (Province of Paraná-S. Catarina and for the Custody of Paraguay) outlined the information and the activities pertaining to the structure and to the maintenance of a Provincial Archive.
